Booking: A non-refundable and non-transferable deposit per person is required to reserve a tour space. The deposit is due immediately to ensure your space/reservation.
Payments: Your final payment is due on the date stated on your invoice. To secure your reservation, you must pay timely installments until that date. Failure to make a timely installment payment may result in forfeiture of your deposit and cancellation of your trip reservation.
PAYMENTS MADE TOWARDS THE BALANCE WILL BE REFUNDED BASED ON THE CANCELLATION SCHEDULE BELOW. PAYMENTS ARE NON-TRANSFERABLE. If traveling with a roommate, please be aware that you will be responsible for the additional cost for Single Occupancy in the event of cancellation and if another roommate cannot be found. JW Trips™ will not be responsible for finding another traveler as a roommate.
Cancellations, Refunds, and Trip Interruptions: Due to the nature of group travel and contracting with service providers, deposits made cannot be refunded or transferred. Unused hotel accommodations or any unused features or segments of the purchased tour are not refundable or exchangeable for other services. Travel insurance is not included in the tour price and will require a separate purchase.
CANCELLATION PROCEDURE, FEES, & SCHEDULE: Please notify us immediately if you need to cancel your booking. Cancellation fees will be applied per person according to the following schedule and are based on the date you fill out the cancellation form using this link: www.jwtrips.com/cancellation2025 (phone, text, or email cancellations are not accepted).
Standard cancellation fee schedule for Scheduled Group Trips**
The deposit is non-refundable***
91 days or more: Fee is $100 per person
90 to 61 days prior to departure: 25% of the trip price
60 to 46 days prior to departure: 50% of the trip price
45-0 days prior to departure: 100% of the trip price
**Note: Cancellation and transfer schedules for cruises, safaris, custom trips, international trips, and certain special events and/or private trips are often stricter and may differ from the schedule above. These exceptions are indicated in the cancellation policies for each of these trips. Airfare purchased on your behalf by JWTrips LLC is subject to the airline’s cancellation policies.
***Non-refundable deposits: If we make special arrangements for you that require payment of non-refundable deposits to suppliers, we may subtract any such deposit from any refund due to you.
No refunds will be provided for any unused tour portion once the tour begins, including if you leave a tour for any reason, miss the tour’s departure date, or must be removed from a tour. There are no exceptions to this cancellation and refund policy, including weather, civil strife, personal, family, medical emergencies, or any other circumstances beyond our control. For this reason, we highly recommend that you purchase trip cancellation and interruption insurance.
TRAVEL INSURANCE WAIVER:
International Trips: Travel Insurance is required for every person traveling on International Groups; proof of coverage will be necessary to travel. Proof of coverage must be provided when the trip is paid in full.
U.S.A. Domestic: Travel protection is strongly recommended. Airlines, cruise lines, and resorts charge fees for trips canceled for reasons beyond your control (weather, aircraft issues, loss of employment, health, or family issues, etc.) will not be reimbursed. If you choose to decline insurance, JW Trips LLC will not be responsible for penalties or fees should you cancel. Any portions of the tour missed due to a medical emergency are non-refundable.
PHOTO RELEASE WAIVER:
I hereby grant JW Trips™LLC permission to use my likeness in a photograph, video, or other digital media (“photo”) in any and all of its publications, including web-based publications, without payment or other consideration. I understand and agree that all photos will become the property of JW Trips™ LLC and will not be returned. I hereby irrevocably authorize JW Trips™LLC to edit, alter, copy, exhibit, publish, or distribute these photos for any lawful purpose. In addition, I waive any right to inspect or approve the finished product wherein my likeness appears. Additionally, I waive any right to royalties or other compensation arising or related to the use of the photo.
I hereby hold harmless, release, and forever discharge JW Trips™LLC from all claims, demands, and causes of action which I, my heirs, representatives, executors, administrators, or any other persons acting on my behalf or behalf of my estate have or may have by reason of this authorization.
By accepting these terms and conditions, you agree that you are in good emotional and physical health and can adapt to the pace of group travel. We do not guarantee any emergency medical care or medicine is available in the country visited. We recommend that you carry any medicine or equipment with you at all times or that any special dietary needs will be cared for in the country visited on your itinerary. JW Trips™ acts only as an agent in making arrangements for hotels, sightseeing tours, and other transportation and services in connection with all tours and is not responsible and expressly disclaims any liability for injury, damage, loss, delay, change in itinerary, additional expense, inconvenience or irregularity, whether to person or property incurred during the trip in connection with or relating to the supply or omission of air, sea, land transportation services, hotel, facilities, meals, other services or illness of the client. JW Trips™ cannot be responsible or liable for breakdowns, government actions, war, terrorism, civil disturbance, fire, weather, natural disaster, acts of god, strikes, or other circumstances beyond our control, such as the client’s failure to obtain proper documentation, travel insurance and/or follow instructions including but not limited to check-in/check-out places and times, or the delay, loss of or damage to client’s luggage or its contents. The client's ticket shall constitute the sole contract between the air carriers and the client. Reservations are not transferable.
